Furniture Moving Company in the Eastern Province: The Paperwork That Protects You
Most moving disputes do not come from the work itself but from missing records: what was there before loading, what was agreed and what was actually handed over. This page explains the four documents we suggest with any furniture moving company in the Eastern Province, and how we apply them at Al Bayt Al Hadith.

A good furniture moving company starts with paperwork before it starts lifting
When you hand your furniture to a moving company you hand over items that each have a story and a value: some bought years ago, some gifts, some custom made. At unloading you may notice a scratch and not remember whether it was there before the move, and both sides end up in a discussion that only something written or photographed can settle.
So before you book any furniture moving company, agree simple and clear paperwork: a written quote, an inventory list, a condition record for important pieces and a handover receipt. You do not need complicated legal contracts. Tidy WhatsApp messages and clear photos are often enough, as long as they exist before the job, not after it.
The four documents we recommend for any move
They are not all essential for every move, but the more valuable or numerous the furniture, the more they matter.
| Document | Purpose | When to prepare it | What it contains |
|---|---|---|---|
| Written quote | Fix the scope, price and date | When you agree, before booking | Services included, truck type, crew size, what could change the price |
| Inventory list | Know what will really be moved | Before or at the start of loading | Large items per room, their count and quick notes |
| Condition record | Document earlier flaws | During packing | Description of existing scratches and breaks, with photos |
| Handover receipt | Prove delivery and review condition | At unloading | Confirmation of receipt, notes on anything missing or damaged, signatures |
If there is no formal paper, the document can be a tidy WhatsApp message or a photo of a handwritten sheet. What matters is that it carries the date and the details and both sides have seen it.
The paper trail from booking to handover
This sequence suits most small and medium residential and office moves.
Request a quote with full details
You send the home details, floor, lift and large items, and the written quote is prepared on that basis.
Review and confirm the quote
You check that it mentions packing, assembly and truck type, then reply with your agreement in writing.
Inventory before loading
The supervisor walks through the rooms with you and notes the large items, and you agree on anything that is not moving.
Photograph the condition
Valuable pieces or those with earlier flaws are photographed and noted in the inventory or the messages.
Unload and check
On arrival, items are matched to the inventory and their condition checked before the work is closed.
Confirm receipt
You confirm receipt and record any note, then the job closes with an agreed way to handle it if there is one.
What goes into an inventory list?
You do not need a complex table. For each room, note the large and important pieces with their count and a quick word on condition. If you are moving a whole home, numbering the cartons and linking each number to a room and a short description may be enough.
An inventory helps in two ways: you can tell if something was lost or never loaded, and it makes arranging the new home easier because you can see where each number belongs.
- Room name and item or carton number.
- A short description: two-door wooden wardrobe, three-seat leather sofa, 55-inch TV.
- Condition at the start: sound, scratch on one corner, crack in the door.
- Whether the piece will be taken apart or carried as it is.
- Whether it is fragile or valuable and needs extra care.
- Special notes: wardrobe key with the owner, or move this piece last.
Six points a furniture moving agreement should state
If one is missing, ask about it before confirming, because misunderstandings usually appear in what was left unwritten.
Date and arrival window
Write the approximate start time and the flexibility agreed, and what happens if either side is late.
Scope of service
Is it moving only, or moving with packing and assembly? And which items, if any, are excluded?
Truck and crew
The vehicle type, whether it is closed, and the expected number of workers, since this affects speed and safety of the load.
Price and what could change it
The base figure and any extras, such as a high floor with no lift or heavy pieces that were not mentioned.
Payment method and timing
Is there a deposit to hold the date? How much is left and when is it due? Keep proof of each payment.
Handling damage
What is the procedure if damage appears at unloading? Agree the steps for inspection and resolution before starting.
How to document the condition of important pieces with photos
Good photography does not need a professional camera. Photograph the whole piece from the front, then from both sides, then zoom in on corners, legs and top surfaces. Photograph any existing flaw clearly with something for scale, such as a hand or a ruler. If the piece sits in a room, photograph its place before it is lifted.
Keep the photos in a folder named with the date of the move, and send some to the supervisor or keep them in the WhatsApp chat with the company so they carry a clear date. If you own very valuable pieces, photograph the serial number or label if there is one.
- A whole-piece photo from the front and both sides.
- Close-ups of every existing scratch or flaw.
- Photos of legs, base and corners.
- Photos of screens switched on, if possible, to show they work.
- Photos of the condition of drawers and runners in wardrobes.
Situations that need a clear clause in the agreement
These situations come up often and are best agreed in advance.
A late start
If the crew is late, or you are late opening the property, it helps to have agreed how you will communicate and reschedule.
Scope changes on the day
You may add items that were not mentioned or decide to cancel assembly, which changes time and effort. Agree that any change is confirmed by message.
Valuable or antique pieces
If you own pieces of special value, mention them and decide whether you will carry them yourself or have them handled with doubled care.
Temporary storage
If furniture will remain in the truck or a temporary place, ask about the conditions and the duration before booking.
What to do if you find a scratch or break at unloading
The first thing we advise is to stay calm and record it at the moment. Stop unloading that piece if you can, photograph it from clear angles, tell the crew supervisor directly, then write the note on the handover receipt or in a message to him before the crew leaves the site.
The condition is then compared with the inventory and photos, and the matter is handled according to what the two of you wrote from the start. That is why we insist on a written agreement before the job: sound handling depends on a clear agreement, not on memory.
- Photograph the piece and the damage straight away from several angles.
- Tell the supervisor on site and do not delay reporting.
- Write the note on the receipt or in a written message.
- Keep the original wrapping if possible until it has been inspected.
- Agree the steps to resolve it in writing.
How we apply documentation on our furniture moving jobs
We work with customers in a written style: a quote that states the scope of service, numbered wrapping of pieces and cartons, screws and small parts kept in named bags, and a review of pieces at handover before the job ends. You can request the written quote from the quote page or see the steps in how it works.
We do not put promises of compensation or insurance on our pages that we have not announced officially. We prefer to tell you what we actually commit to: clarity in the quote, in the explanation and in the review at receipt. If you have a specific question about damage and how it is handled, ask it directly before booking so you get a clear written answer.
